When you enter, we collect:

• Your name and surname
• Your South African ID number
• Your date of birth
• Your cell number and email address
• Your province
• Your bike number, make, model and engine capacity
• Your medal target and entry type
• Your indemnity acceptance and typed digital signature
• Your payment reference and payment status

• To process and confirm your entry and payment
• To allocate rider numbers and produce start and results lists
• To run live timing and publish results
• To contact you about the event, including changes on race day
• To reach your emergency contact and give medical staff what they need if you are injured
• To keep records of indemnity acceptance, which we are required to retain

Your ID number and date of birth are collected to verify identity and confirm age eligibility for Junior entries. We do not use your information for marketing unless you ask us to.

You give consent by ticking the POPIA consent box during registration. Entering without that consent is not possible, because we cannot run the event or meet our safety and insurance obligations without this information. You may withdraw consent at any time, but doing so before the event means we have to cancel your entry.

We share only what is necessary, and only with:

• Our timing provider, to score your ride
• On-site medical staff, if you need treatment
• The venue, where access control requires it
• Our payment and hosting providers, who process data on our instruction

We do not sell your information, and we do not share it with sponsors for their own marketing. Results published publicly show your name, bike number and finishing position only.

Once you enter, your name, surname, medal target and whether your payment has been received appear on the public entrant list on this site. Riders like to see who else is coming, and it helps you find people to ride with.

Nothing else is shown there. Your ID number, date of birth, cell number, email address and bike details are never published.

If you would prefer not to appear on that list, WhatsApp us on 082 900 6722 and we will remove you from it. Your entry stays valid either way.

Entries are stored in a Supabase database with access restricted to the event organisers. Data may be hosted outside South Africa on servers that meet a comparable standard of protection, as POPIA permits for cross-border transfers.

We keep entry records for five years after the event, which covers the period in which an injury or liability claim can be brought. After that we delete or anonymise the records. Payment records are kept for the period required by tax law.

Entry data is submitted over an encrypted connection, stored with row-level security enabled, and reachable only through the organisers' administrative access. We keep the number of people with access as small as practical.

Under POPIA you may:

• Ask what personal information we hold about you
• Ask us to correct or delete it
• Object to how we are using it
• Withdraw your consent
• Complain to the Information Regulator of South Africa at inforegulator.org.za

Junior entries are for riders under 16. A parent or legal guardian must complete the entry, accept the indemnity and give consent on the rider's behalf.
